Minutes

 Attendees:  President Ivory V. Nelson, Vice President Howard E. Merlin, Vice President Grant D. Venerable, Vice President Michael B. Hill, Ms. Thelma Ross for Vice President William B. Bynum, and Ms. Diane M. Brown.  Attending for portion of meeting: Mr. Steve Carol, Ms. Danielle Jones, Mr. John Thompson.

Draft Cabinet minutes of February 20, 2007 were approved.

Budget Preparations

Ms. Jones, Mr. Carol and Mr. Thompson made presentations concerning their projected personnel needs in the business office, information technology and physical plant for the 2007-2008 fiscal year. 

 
Ms. Jones proposed an organization structure change in the business office and requested the addition of one staff member, which amounted to a slight increase in that area’s personnel budget.

 
The area of information technology is projecting the need for the addition of one receptionist and two desktop technicians.  Members of the Cabinet suggested that the following areas be reviewed in order to assist with efficiency and cost controls:

·        Organizational structure

·        Operator/receptionist position

·        New voice mail system

·        Increase use of student workers

 
The personnel needs in the physical plant would increase the headcount in the division but not the budget, as open budgeted positions are available.

 Physical Plant Briefing

 The rendition of the Student Union Building renovation project has been completed and will be placed near the site.

 Mr. Thompson reported that the Commonwealth funded projects are all on schedule.

·        University Hall – 60% complete with occupancy scheduled for July 2007

·        HVAC – 80% complete

·        Ware Center – 75% complete with occupancy schedule for July 2007.  New signage will read “Ware Fine Arts Center”

·        Student Union – 6.5% - in demolition stage

·        Langston Hughes Memorial Library – in design phase

·        Pony Boiler LLC – awaiting delivery of new boiler

·        Thurgood Marshall Living Learning Center – 25% complete (work has been halted until outside temperature reaches level at which materials meet specs

·        International Cultural Center – final design has been approved; construction to start in June 2007

·        Science Building – bid packets to be distributed late March; construction to begin June 2007
