How
To Start An Alumni Chapter Alumni
Chapters may be
formed in one of three ways: (1) a group of Lincolnites takes the
initiative; (2) the Alumni Association takes the initiative by mobilizing
alumni in different areas to form a chapter; or (3) the Office of
Alumni Relations makes an organizing step by encouraging a local group.
In all instances the Office of Alumni Relations provides all the necessary
technical assistance.
- In a location
where at least five Lincolnites agree to organize an alumni chapter,
the Office of Alumni Association, with assistance of the Office
of Alumni Relations, will:
- Furnish the
group with a list of names of all known and "lost" alumni in the
area.
- Provide the
organizing group with a copy of the "Chapter Development Manual"
that will outline details and samples for creating a constitution,
meeting organization and more.
- When possible,
mail an initial letter to all potential members, inviting them to
join in the local organizing efforts. Or, supply the group with
a set of mailing labels.
- When possible,
a representative of the Alumni Association and the Alumni Relations
Director will attend the organizational meeting.
- Supply other
information that the AALU identifies as helpful in the initial stages
of organizing.
Meeting
of a Steering Committee
Once the original nucleus of interested Lincolnites
have been arranged as a Steering Committee and a meeting is set, the
following steps might be taken:
- Elect a temporary
chairman to preside until regular chapter officers are elected.
- Decide upon
a date, time and place for an initial chapter planning meeting.

- Request that
the Office of Alumni Relations send each alumnus in the area an
announcement about the initial meeting and an invitation to attend.
*Where there are a limited number of alumni in an area, the meeting
of the Steering Committee may also be the initial organizational
meeting.
- The temporary
chairman should appoint:
- a Nominating
Committee to prepare a slate of officers to be presented at
the initial meeting;
- A Constitution
Committee to prepare a basic form of organization for the chapter
(this form may be adapted from the suggested Constitution in
the Chapter Development Manual);
- Other
persons to cover the arrangements for the organizational meeting,
to follow up the Alumni Office's written notices with telephone
calls and personal contacts, and to plan a brief but interesting
program.
Organizational
Meeting
Conduct an organizational
meeting for all Lincolnites in the area.
- Discuss the
purposes of an alumni chapter.
- Introduce
the chairman of the temporary Nominating Committee and hear the
Committee's report. After the slate* has been presented, others
present should be permitted to nominate candidates if they so desire.
- Elect Officers
- Present the
constitution prepared by the committee assigned by the temporary
chairman and vote on its approval.
- Obtain the
names of persons willing to serve on standing committees as designated
by the new constitution.
- Discuss club
finances (dues structure)
- Decide on
a date, time and place for the next meeting.
- Allow sufficient
time for a fellowship period at which refreshments are served.
*All
alumni listed on the slate of officers must have paid their dues to
the Alumni Association before the election. This group should also
have paid the local dues as established by the chapter.
Follow
Up to the Organizational Meeting
- Send report
of that meeting to the Executive Secretary of the Alumni Association.
With this report, send a list, on the form suggested in the Chapter
Development Manual, of the officers, charter members and the original
copy of the adopted constitution. Include $25 new charter fee, any
unpaid national dues, and request recognition as a charter chapter
of the AALU. Once it has been established by the Executive Committee
that the Steering Committee has met all the requirements for establishing
a chapter, a charter signed by the President,. Executive Secretary,
and the Treasurer shall be issued upon payment of a fee established
by the council.
- Give the AALU
details for your next chapter meeting (This is the meeting where
you will be presented with your charter).
- Give the story
of the proceedings to the local newspaper.
- Send a brief
report of the chapter's organization to area alumni who could not
attend the meeting.
